How it’s calculated
Hours worked are the time between clocking in and clocking out, minus unpaid meal breaks. If the end time is earlier than the start time, the shift is treated as ending the next day (an overnight shift).
Example: 9:00 AM to 5:30 PM with a 30-minute lunch is 8 h 30 min − 30 min = 8 h 0 min (8.00 decimal hours). Five days a week gives 40 hours; at $20/hour that is $800 per week.
Overnight example: 10:00 PM to 6:00 AM with a 30-minute break = 8 h − 0.5 h = 7.5 hours.
Under the U.S. Fair Labor Standards Act, short rest breaks (usually 20 minutes or less) count as paid working time, while bona fide meal periods (typically 30 minutes or more) generally do not. Weekly pay shown is straight time; overtime rules depend on your jurisdiction and job.
Frequently asked questions
How do I convert minutes to decimal hours?
Divide by 60. 7 h 45 min = 7 + 45/60 = 7.75 hours. Payroll usually uses decimal hours.
Should breaks be subtracted?
Only unpaid meal breaks where you are fully relieved from duty. Short rest breaks are normally paid time.
What about a shift that ends exactly at midnight?
Enter 12:00 AM (or 0:00 on a 24-hour clock) as the end time; it is treated as midnight at the end of the shift.
